APPENDIX J - Business Continuity Plan

Pdf Summary
Oakleaf Group’s Business Continuity Plan aims to protect employees, property, data, and records and restore operations as quickly as practicable after a significant disruption. It applies across the scope defined in the company’s Business Continuity Policy and addresses critical systems and data, communications, alternate work locations, suppliers, and recovery testing.

Recovery priorities are based on business impact and risk assessments. Maximum acceptable outages range from 4 hours for email to 48 hours for Salesforce; most listed services have a 24-hour outage limit. Key infrastructure—including remote desktop servers, domain controllers, file servers, and the co-location firewall—has a 24-hour maximum outage and a 4-hour recovery time objective, supported by redundancy, backups, or warranty support.

Critical data is protected through redundant configurations or backups. File-server data receives daily backups, monthly copies retained for 12 months, and annual copies retained for seven years, with off-site storage. SharePoint data uses Microsoft cloud retention, while local computer data is backed up hourly to secure cloud storage.

The Emergency Response Team, led by the COO as Emergency Response Manager, coordinates decisions and recovery. The IT lead handles small IT incidents; the Emergency Response Manager decides whether to activate recovery plans. The plan also assigns responsibilities for employee safety, authorities, communications, facilities, equipment, and suppliers.

If offices are disrupted, staff may relocate to mirrored recovery sites in Bethesda or Chevy Chase, or work from home. A wider regional disruption calls for a site outside the affected area. Critical systems and data are hosted in a Sterling, Virginia datacenter.

The COO coordinates an annual plan walkthrough involving the Emergency Response Team and IT team. Testing results are documented, with corrective actions and improvement recommendations reviewed and initiated.
